This Privacy Policy explains how SyncDepo collects, uses, and safeguards information when you use our website, desktop applications, and related services (collectively, the "Services").
1. Information We Collect
- Account information: name, company, email address, and authentication credentials.
- Billing information: payment method details processed by our third-party providers.
- Client materials: transcripts, video, audio, and metadata you upload for processing.
- Usage data: device information, server log files, and crash reports.
2. How We Use Information
We use collected information to provide and improve the Services, authenticate users, process payments, deliver customer support, and maintain platform security. Aggregated, de-identified data may be used to analyze performance trends.
3. Cookies
The website uses a single first-party session cookie to keep you signed in to your account. We do not use advertising cookies, analytics cookies, or any other third-party tracking technologies. If you block cookies in your browser, you will not be able to sign in to the website.
4. Sharing & Disclosure
We do not sell Client Materials or personal information. When you submit a job, the audio from your uploaded media is transmitted to a third-party speech-recognition provider solely to generate the machine transcript used for synchronization. We may also share limited information with trusted service providers who assist with payment processing, cloud infrastructure and storage, email delivery, or customer support. All of these providers are bound by contractual obligations to safeguard your data and may use it only to provide services to us. We may also disclose information if required by law or to protect the rights, property, or safety of SyncDepo and our users.
5. No Use for AI Training
Client Materials are never used to train artificial-intelligence or machine-learning models — not by us, and not by our service providers. Our speech-recognition providers are configured and contractually restricted so that audio and transcripts processed through our accounts are not used to train or improve their models.
6. Where Your Data Is Stored
Our application servers and file storage are hosted in data centers located in the United States. Client Materials and account information are stored and processed in the United States.
7. Data Retention
Client Materials you upload, along with files generated while processing them, are automatically and permanently deleted from our storage systems at the end of your organization's retention period — 14 days by default. Account information and billing records are retained while your account is active and for a reasonable period afterward to satisfy legal obligations and resolve disputes.
8. Security & Breach Notification
We employ administrative, technical, and physical controls designed to protect your information, including encryption of data in transit. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we continuously improve our safeguards. If we discover a security breach affecting your personal information or Client Materials, we will notify affected customers and, where required, regulators without undue delay, consistent with applicable law.
9. Your Privacy Rights
Depending on where you live, you may have rights under applicable privacy laws, including the right to access, correct, delete, or receive a copy of your personal information, and the right not to be discriminated against for exercising those rights. You may update account information from your dashboard, and you can request deletion of your account and Client Materials at any time. To exercise any of these rights, contact support@syncdepo.com; we will verify your request and respond within the time required by applicable law. You may also opt out of non-essential communications by following the instructions included in those messages.
10. Children's Privacy
The Services are not directed to children under the age of 13, and we do not knowingly collect personal information from children. If we learn that we have inadvertently collected such information, we will delete it promptly.
11. Changes to this Policy
We may update this Privacy Policy periodically. Material changes will be communicated via the website or email. Continued use of the Services after an update constitutes acceptance of the revised policy.
